Biggest Pain Point for a PM

Having worked for years with many different project managers, I think the biggest pain point for them is getting status updates on the projects they are working on.

I know personally I was not part of the solution for many of the projects I used to work on. There were plenty of times the project manager was sending me emails, or calling me on my phone, or even just showing up at my desk to find out where I was on my tasks.

The problem for me and them was the tool we were forced to use, and I know that forced is a strong word, when it really comes down to there is one default application used all over the world for project management, and it is Microsoft Project.

Project is a good program for what it does, but it falls short when it comes to reporting, and updating of tasks, as well as just tracking multiple projects. I have never worked at a company that invested in a MS Project Server, so I do not know if things get better with that product. What I do know is that in my jobs I had multiple projects running all at the same time, and had to do updates not only on my own project plans, but give updates to PM’s on their plans, and a lot of my plans were basically double entry of the tasks I had in the PM’s plans.

The worst thing that could happen was if a PM wanted to incorporate my project plans into their project plan, then I was really doing double entry.

Then of course there was the weekly project update meetings, a whole hour out of my day to listen to every one give the PM their update on their tasks, and sometimes they would never get to me and my tasks, so I was having to give them my status outside of the meeting. In other words, I would sit in a meeting that was to gather all the updates, and would not be able to give my update because of the length of time the others had used giving their updates.

I don’t even want to talk about reporting to management about progress updates, but I have to. My manger would want to know the status of my projects and the status of the project teams I was a part of. There was no real way for them to just log in to something and see where things were, all they could do was take my word for it, or the word of the PM.

So what is the answer to the problem? I did not know then, but I do know now!
